How to Create and Manage Users in wolkvox CRM

Introduction
wolkvox CRM allows me to create new user accounts for my team, assign them a profile and role, and manage their access to the CRM, including license activation and password resets.
The "Users" section in wolkvox CRM is the central hub for managing accounts that access the platform. From here, administrators can create new users, assign profiles (which define permissions) and roles (which apply hierarchical restrictions), and manage their licenses. It’s important to note that users cannot be deleted, but their accounts can be deactivated. Integration with wolkvox Manager is also key, as contact center agents are automatically synced with the CRM, simplifying user management.
Configuration
To create and manage users in wolkvox CRM, follow these steps:
Creating a New User
- In the left side menu, go to "Settings".
- In the “Users” group.
- Click on the "Users" tab.
- Click the "Add User" button.

Complete the form with the user's information. Key fields include:
- Document: Unique identifier for the user.
- Username: Full name of the user.
- Email: User’s email for notifications and password reset.
- CRM User: This is the username used to log in. It is a required field and must follow the format name@myoperation.
- Phone, City, and Address: These fields add specific information to the user.
- Profile, Role, and User Level: Assign the appropriate profile, role, and level for the user. These define their permissions and hierarchy in the CRM.
- Check the "Active License" box so the user can use the account immediately after creation. By default, licenses are inactive.
- Click "Confirm" to save the new user.

User and Credential Management
Once the user has been created, you can manage them from the main user table. Note that a user cannot be deleted, only their license can be deactivated.
- Edit user: Click the yellow button with the pencil icon to edit the user’s information.
- Reset password: To create a password for a new user or reset an existing one, click the blue button with the circular arrows icon. This will send an email to the user with a link to set their new password.

Integration with wolkvox Manager
Users created in wolkvox Manager are automatically registered in wolkvox CRM with a specific structure (agent_{{agent_id}}@OperationName from wolkvox Manager). For these users to access the CRM, their license must be manually activated in the user view. Once activated, it is recommended to edit the user to complete their contact information.
