Symptom / Need

Manage emails using MailVox in Wolkvox CRM, including composing, sending, and organizing your inbox.

Context / Scenarios

MailVox in Wolkvox CRM provides an intuitive interface for managing emails, allowing you to compose, send, and organize emails from a single platform. This feature facilitates message management and tracking, improving communication efficiency.

Answer (Solution / Recommendation)

Managing your inbox

  • Access Different Folders: Use the options on the left panel to access different folders such as Archive, Inbox, Outbox, Drafts, Junk, Deleted Items, and Sent Items.
  • Inbox Refresh: Use the “Refresh” button to keep your inbox updated and ensure all new emails are displayed correctly.
  • Using Categories: Use categories to better organize and track messages and events related to each email. Categories allow for better organization and tracking of emails.
  • Reply, Reply All, and Forward:
    • Reply: Sends a reply only to the sender of the received email. This is ideal for maintaining a direct conversation without including other recipients.
    • Reply All: Send a reply to all original recipients of the email, including the sender and any other contacts who have been copied. This option is recommended when the information shared is relevant to everyone involved.
    • Forward: Send a copy of the received email to a new recipient who wasn't on the original list. This option is useful when you need to share the email content with someone else who wasn't included in the initial communication.

Compose and send emails

  • Access Compose: Click the “Compose” button to begin composing a new email message.
  • Email fields:
    • For: Specify the email addresses of the primary recipients. This field is linked to the contacts module, so as you type characters, the system will list the emails it finds based on what you type. You can also add email addresses manually without having to be linked to the contacts module.
    • CC: Here you can set the email addresses that will receive a copy of the message.
    • Subject: Specifies the topic or subject of the message.
  • Attach Files: Attach files if necessary. If you want to remove an attachment you've already uploaded, you can do so using the "X" icon on the far right of the row where the file is listed.
  • Composing your message: Use the text formatting tools, insert links, images, and videos to compose your message. Once you've finished filling out the recipient fields and composing your email, click "Send Email."
