Introduction

wolkvox CRM allows you to create web forms to capture information from an external site and register it directly in the module you define within your CRM. These forms are generated as an iframe, so they can be integrated into web pages, portals, or any environment where you need to collect data in a structured way.

From the form configuration, you can define both functional data and visual appearance, as well as preview in real-time how the result will look before saving it. You can also manage already created forms, view them, edit them, delete them, and copy their iframe code to integrate them where you need.

 

 

Configuration

 

Enter wolkvox CRM Configuration

  1. To begin, enter wolkvox CRM and go to the configuration icon located in the top right corner of the interface.
  2. Go to the "Customize" tab.
  3. Then open the "Web Forms" tab.
  4. Click on the "Create Form" button.
    • This will open the web form creation view.

 

 

Configure the "Form Data" Section

In this section, you define the base structure of the form and the destination of the information that will be sent.

You must complete the following fields:

  • Name: This is the internal name that will allow you to identify the form within wolkvox CRM.
  • Select Module: Here you choose the wolkvox CRM module where each record sent from the form will be saved. This module must already exist in your CRM.
  • Fields: Allows you to select the fields that will be visible in the web form. Here you must include, especially, the mandatory fields for creating the record in the selected module. These fields depend on the module's field configuration within wolkvox CRM.
  • Description: Used to document the purpose of the form within the system, for example, if it will be used for lead capture, data updating, or case creation.

 

 

Note the Difference When the Selected Module is Cases

If you select the Cases module, in addition to the general fields, you must define some mandatory values from the form configuration itself.

 

In this case, the system will ask you for:

  • Case Type
  • Responsible
  • Status
  • Priority

 

These values are configured as defaults for each record created from the web form. This is important because, although they are mandatory for creating the case, they are not added as editable fields for the person filling out the form. In other words, the external user does not define them; they are established from the administrative configuration.

 

Additionally, in this configuration, you can also assign aliases or labels to some default fields of the module, such as contact, description, or attachments, as applicable in your structure.

 

 

Configure the Customize Form Section

After defining the base data, open the Customize Form section. Here you can adjust the visual design of the form.

The available fields are:

  • Form Width: Defines the width of the space the web form will occupy.
  • Form Background Color: Allows you to assign the general background color of the form.
  • Form Text Color: Defines the main color of the texts.
  • Typography: Allows you to select the form's font.
  • Font Size: Defines the size of the font.
  • Logo Image: With the + Add Logo button, you can enter the public URL of an image to use as the form's logo.
  • Logo Position: Allows you to place the logo on the left, center, or right.
  • Title: This is the visible title of the form for the end user.
  • Description Position: Allows you to align the title or description to the left, center, or right, depending on the available configuration.
  • Text: This is the introductory description that will appear below the title and serves to guide the person filling out the form.
  • Button Color: Defines the color of the main button.
  • Button Text Color: Allows you to change the color of the button text.
  • Button Corner Style: You can choose if the button will have straight, slightly rounded, or completely rounded corners.
  • Button Text: This is the text that the user will see on the submit button.

 

 

Review the Form Preview and Save the Form

  1. On the right side of the screen, you will find a real-time preview. There you can validate how the form will look as you configure fields, texts, colors, and visual structure. This allows you to adjust the design before publishing it.
  2. When you finish configuring the functional and visual parts, click Save. This will register the form in the Web Forms table within wolkvox CRM.

 

 

Manage Already Created Forms

Once created, the form will appear in the table of configured web forms. From the Actions column, you can manage each one with the following options:

  • View Full Version: Opens the form in a new tab to see how it is displayed in full.
  • Edit: Allows you to modify the configuration of the already created form.
  • Delete: Deletes the form from the list.

 

 

Copy the Form Iframe to Integrate It

Each created form generates a token in the web forms table. To copy the iframe:

  1. Locate the desired form in the table. Left-click on the token.
  2. The system will automatically copy the corresponding iframe code to your operating system's clipboard.
  3. You can then paste that iframe into your website, landing page, portal, or wherever you want to integrate it.

 

 

What Happens When a Person Submits the Form

When a user completes the fields and submits the web form:

  • The information is automatically registered in the selected module.
  • The record is created based on the configuration performed.
  • If the form was created for Cases, the default values defined for type, responsible, status, and priority will be automatically applied.
  • In this way, the form not only functions as an embeddable visual element but also as a direct mechanism for capturing and entering information into wolkvox CRM.
