Introduction

wolkvox CRM allows exporting the visible information in a CRM module's table to an Excel file, including only the records that meet certain search or filter criteria. I would also like to understand the potential errors that may arise during the download and how to resolve them.

wolkvox CRM modules allow visualizing and managing large volumes of information in a table format. To facilitate external analysis and management of this data, the "Download Filtered Excel" button has been implemented.

This button exports the currently visible information in the table to an Excel file. If filters have been applied (via the "Search" button or predefined filters), the downloaded file will exclusively contain the records matching those filters. The value in the "Total" field on the interface will always indicate the total number of records available in the module or the number of filtered records, and the Excel download will reflect this quantity.

Prerequisite: For the "Download Filtered Excel" button to be visible and functional, your user profile must have the "Download" permission activated in the system configuration.

Possible error scenarios during download:

• Attempting to download an extremely large volume of data.    
• Unstable or slow internet connection.    
• Lacking the appropriate permission to download.    

Download

1. Download Filtered Excel:        
   1. Go to the wolkvox CRM module from which you want to export information.            
   2. If you wish to download all available records in the module, skip this step. If you need to export only a subset of data, use the "Search" button or the available filtering options to apply the desired criteria. Verify that the "Total" field updates with the number of records you want to download.            
   3. Click the download icon (represented by a downward arrow over a line, similar to an outbox) located in the upper toolbar of the data table. This is the "Download Filtered Excel" button.            
   4. The system will begin generating and downloading the Excel file with the visible or filtered data.            
2. Solution to Common Error Messages: If you encounter any of the following error messages during the download process, follow the recommendations to resolve them:        
   1. Error Message: “Error, data limit reached of 30 megabytes”                
      • Cause: The generated Excel file exceeds the maximum allowed size of 30 MB.                    
      • Solution: Apply more specific filters in the wolkvox CRM module to reduce the amount of data you are trying to download. Try to segment the download into smaller files if you need all the information.                    
   2. Error Message: “Record limit exceeded (Max. 30 thousand records per file)”                
      • Cause: The number of records you are attempting to export exceeds the limit of 30,000 records per file.                    
      • Solution: Use additional filters to decrease the number of records included in the download. Filtering by date ranges, specific types, statuses, etc., can be useful to obtain multiple smaller files.                    
   3. Error Message: “Error, memory limit reached. Information must be filtered further”                
      • Cause: The amount of data the system is trying to process for download exceeds the available server memory.                    
      • Solution: Refine your search filters even further to reduce the volume of data to be exported. This error is similar to the previous ones in its solution, as a smaller data volume will require less memory.
