Introduction
The wolkvox CRM Alerts and Notifications Center allows you to stay informed in real-time about critical events, important tasks, system updates, errors, and relevant activities within wolkvox CRM. I am looking for a centralized and customizable way to receive notifications that allows me to act quickly and maintain greater visibility into processes.
This Alerts and Notifications Center is designed to improve the visibility and management of relevant information for each user. This tool allows for the centralization, classification, and administration of system notifications, processes, and module activities, providing timely and pertinent information according to the user's role.
Configuration
The configuration of the Alerts and Notifications Center is done at the user profile level. Follow these steps to configure and use this functionality:
Configure Alerts and Notifications Permissions by Profile
- In the left sidebar menu of wolkvox CRM, click the "Configuration" icon (gear).
- Within the configuration, select the "Users" tab.
- Access the "Profiles" sub-tab.
- Search for and click on the name of the profile you want to configure (e.g., "General Supervisor").

- Within the profile editing screen, select the "Alerts and Notifications Center" section.
- Here you will find three types of alerts and notifications, differentiated by colors:
- General system alerts: Includes system updates, errors, and email notifications.
- Import and process alerts: Includes the start, completion, and errors of sub-processes.
- Module activity: Allows configuring notifications about events within specific modules. To configure the modules, you must first activate this notification system and apply the changes using the "Edit" button.
- Click "Edit" to save and apply the changes made in the profile configuration.

Once the changes are applied, you can configure the modules for which you want to activate activity-based notifications for the selected profile.

- A "Module Notifications" modal window will open.
- You can use the "Search modules" field or navigate the list of all modules created in your operation (e.g., Cases, Collections, Companies, Contacts, FAQs, etc.).
- To activate notifications for a module, switch the toggle button to the "on" position next to the module name.

- Once a module is activated, you can specify the type of notifications:
- "All profile users": Notifications for this module will be for all users who have this profile.
- "Owners and/or responsible users only": Notifications will be only for users who are the owner or responsible party of the record and who have this profile.
- Check the boxes for the events you want to be notified about:
- Record created: To receive a notification when a new record is created.
- Record updated: To receive a notification when a record has been updated.
- SLA compliance alerts: (Available only for the Cases module) To receive alerts related to Service Level Agreement compliance.
- You can use the "Mark all" button to activate notifications in all modules at once.
- Once the desired modules are configured, click the "Save" button at the bottom of the "Module Notifications" modal window.

Finally, after configuring all desired alerts and notifications in the "Alerts and Notifications Center" section of the profile, click the "Edit" button at the bottom of the screen to save and apply all changes to the profile.

Once the configuration has been saved for your profile, you can access your notifications:
- In the upper right corner of the wolkvox CRM screen, you will see the "Notifications Center" button (represented by a bell icon). This icon will display a number if you have unread notifications.
- Click the bell icon to open the "Notifications" panel.

The notifications panel has two main tabs:
-
Unread (X): All notifications you have not yet viewed or marked as read are listed here. Each notification is identified by the color assigned in the profile settings and provides information on the module, the action, the user who performed the action (if applicable), the record ID, and the time elapsed since its creation.
- To mark a notification as read, click the "Read" button below it.
- To go directly to the related record or module, click the "Open" button.
