How to set up and use the Alerts and Notifications Center in Wolkvox CRM
Symptom / Need
I need to stay informed in real time about critical events, important tasks, system updates, errors, and relevant activities within wolkvox CRM. I'm looking for a centralized and customizable way to receive notifications that allow me to act quickly and maintain greater visibility into processes.
Context / Scenarios
Wolkvox CRM incorporates a feature called the "Alerts and Notifications Center," designed to improve the visibility and management of information relevant to each user. This tool centralizes, classifies, and manages system notifications, processes, and module activities, providing timely and relevant information based on the user's role.
Answer (Solution / Recommendation)
The Alerts and Notification Center configuration is done at the user profile level. Follow these steps to configure and use this feature:
Configure Alerts and Notifications Permissions by Profile
- In the left side menu of wolkvox CRM, click the "Settings" (gear) icon.
- Within the settings, select the "Users" tab.
- Access the "Profiles" sub-tab.
- Find and click the name of the profile you want to configure (for example, "General Supervisor").

- Within the profile editor, select the "Alerts and Notifications Center" section.
- Here you will find three types of alerts and notifications, differentiated by colors:
- General System Alerts: Includes system updates, errors, and email notifications.
- Import and Process Alerts: Includes start, end, and thread errors.
- Module Activity: Allows you to configure notifications about events within specific modules. To configure modules, you must first activate this notification system and apply the changes using the "Edit" button.
- Click "Edit" to save and apply the changes you made to your profile settings.

Once you've applied the changes, you can configure the modules in which you want to activate notifications based on the activity for the selected profile.

- A "Module Notifications" modal window will open.
- You can use the "Search Modules" field or browse the list of all modules created in your operation (e.g. Cases, Collections, Companies, Contacts, FAQs, etc.).
- To enable notifications for a module, move the toggle button next to the module name to the "on" position.

- Once a module is activated, you can specify the type of notifications:
- "All profile users": Notifications from this module will be for all users who have this profile.
- "Owners and/or managers only": Notifications will only be sent to users who are owners or managers of the registry and who have this profile.
- Check the boxes for the events you want to be notified of:
- Record Created: To receive a notification when a new record is created.
- Record Updated: To receive a notification when a record has been updated.
- SLA Compliance Alerts: (Available only for the Cases module) To receive alerts related to compliance with Service Level Agreements.
- You can use the "Check All" button to enable notifications for all modules at once.
- Once you have configured the desired modules, click the "Save" button at the bottom of the "Module Notifications" modal window.

Finally, after configuring all the desired alerts and notifications in the "Alerts and Notifications Center" section of your profile, click the "Edit" button at the bottom of the screen to save and apply all changes to your profile.

Once the settings have been saved for your profile, you will be able to access your notifications:
- In the top right corner of your Wolkvox CRM screen, you'll see the "Notification Center" button (represented by a bell icon). This icon will display a number if you have unread notifications.
- Click the bell icon to open the "Notifications" panel.

The notification panel has two main tabs:
-
Unread (X): All notifications you haven't yet viewed or marked as read are listed here. Each notification is identified by the color assigned in your profile settings and includes the module, action, user who performed the action (if applicable), record ID, and the time elapsed since it was created.
- To mark a notification as read, click the "Read" button below it.
- To go directly to the related record or module, click the "Open" button.
- Read (X): This is where you'll find all the notifications you've already viewed or marked as read. It also includes the creation time and an "Open" button to access the related record.
- Additionally, at the top of the notification panel, you can use "Advanced Filters" to organize notifications by:
- All.
- My notifications.
- General and system alerts.
- Import and process alerts.
- Module activity.
- Date range (start date and end date).
