Introduction

wolkvox CRM allows you to control which user profiles can view (list) and/or modify (edit) specific case records in wolkvox CRM, in order to improve security, information privacy, and optimize workflows according to each team's responsibilities.

wolkvox CRM has implemented a new functionality: Permission Management by Case Types. This enhancement, integrated into the default configuration of the Cases module, allows administrators to precisely define access and editing permissions for different user profiles over specific case types. This ensures that sensitive information is handled only by authorized personnel and that processes remain efficient.

Configuration

To configure permissions by case types in wolkvox CRM, follow these steps:

Accessing wolkvox CRM Configuration and the Cases Module

  1. In the left sidebar menu of wolkvox CRM, click the "Configuration" button (gear icon).
  2. Then, click the "Customize" tab.
  3. Within the "Customize" section, click the "Modules and fields" sub-tab.
  4. In the list of modules, click on the "Cases" module.

Accessing the Default Configuration of the Cases Module

  • Left-click on the "Default" tab.
  • In the "Type" dropdown menu, select the case type for which you want to configure permissions (e.g., "Requests," "Complaints," "Claims," "Suggestions").

Configure Permissions by Case Types

  1. Once the case type is selected, go to the "Case type permissions" section and configure the following permissions using the toggle buttons:
    1. "Can list": Activate/deactivate this option to control whether the selected profiles can view records of this case type.
    2. "Can edit": Activate/deactivate this option to control whether the selected profiles can modify records of this case type.
    3. In the "Assigned profiles" field, click to select the user profiles to which you want to apply this permission configuration for the selected case type.
    4. In the "Selected profiles" section, you can see all the profiles you have assigned to this case type.
  2. Finally, click the "Apply" button to save and apply the permission configuration to the selected case type.
