Symptom / Need

I need to control which user profiles can view (list) and/or modify (edit) specific case records in wolkvox CRM, in order to improve security, information privacy, and optimize workflows based on each team's responsibilities.

wolkvox CRM has implemented a new feature: Case Type Permission Management. This enhancement, integrated into the default configuration of the Cases module, allows administrators to precisely define access and editing permissions for different user profiles on specific case types. This ensures that sensitive information is handled only by authorized personnel and that processes remain efficient.

 

Answer (Solution / Recommendation)

To configure permissions for case types in Wolkvox CRM, follow these steps:

 

Access the wolkvox CRM Configuration and Cases Module:

  1. In the left side menu of wolkvox CRM, click the "Settings" button (gear icon).
  2. Then, click on the "Customize" tab.
  3. Within the "Customize" section, click on the "Modules and Fields" subtab.
  4. In the list of modules, click the "Cases" module.

 

 

Access the Default Configuration of the Case Module:

  • Left click on the "Default" tab.
  • From the "Type" drop-down menu, select the type of case you want to set permissions for (e.g., "Requests," "Complaints," "Claims," "Suggestions").

 

 

Configure Permissions by Case Type:

  1. Once you have selected the case type, go to the "Case Type Permissions" section and configure the following permissions using the toggle buttons:
    1. "Can list": Check/uncheck this option to control whether selected profiles can view records for this case type.
    2. "Can edit": Check/uncheck this option to control whether selected profiles can edit records for this case type.
    3. In the " Assigned Profiles " field, click to select the user profiles to which you want to apply these permission settings for the selected case type.
    4. In the " Selected Profiles " section, you can see all the profiles you have assigned to this case type.
  2. Finally, click the "Apply" button to save and apply the permission settings to the selected case type.
