New Advanced Filter System in wolkvox CRM
In wolkvox CRM, the advanced filters system has been completely redesigned to offer a clearer, more agile, and intuitive search experience. This update enhances how users query information within the CRM, allowing searches to be conducted in a more organized manner with simpler interaction from the interface.
Now, it is possible to query information in one or multiple case types from a single search, without needing to repeat the process separately. Additionally, the system automatically displays the most relevant filter fields based on the selection made, helping to focus the search from the start and reduce visual complexity.
The interface also incorporates dynamic behavior in filters, allowing users to delve into more fields only when truly needed. This makes information exploration more efficient, avoiding overwhelming users with unnecessary options and facilitating a cleaner reading of the filtering panel.
This improvement also includes the ability to manage favorite filters per user, with a maximum of 10 favorite filters. It is also important to note that some fields do not apply to filtering, such as Attachment Type, and that to correctly visualize all the information found, it may be necessary to previously configure the display columns.
Benefits
- Offers a clearer, more modern, and intuitive filtering experience.
- Allows querying information in one or multiple case types from a single search.
- Automatically shows the most relevant fields based on the search performed.
- Reduces visual complexity by presenting filters dynamically.
- Facilitates a more organized and efficient exploration of information.
- Helps personalize the experience with favorite filters per user.
- Improves the agility in querying records within the CRM.
How to Configure or How the Process Is Done
To use the new advanced filter system in wolkvox CRM, the user must enter the Advanced Filters panel from the corresponding view of the module or list they wish to query. Once there, they can:
- Use the Search field to quickly locate the available fields for filtering.
- Select the filter fields they want to activate within the search.
- Define the condition for each field, for example, exact value or the available operator according to the data type.
- Apply the selected filters with the Apply Filters button.
- Clear the current configuration with the Clear Filters button if they want to start a new search.
- Save a frequent configuration as a favorite filter, keeping in mind that each user can store up to 10 favorite filters.

New Option to Duplicate Email Templates in wolkvox CRM
In wolkvox CRM, the option to Duplicate Template is now incorporated within the management of Email Templates, facilitating the creation of new templates based on an existing one. This functionality allows generating a complete copy of an email template, preserving its content and structure so it can be reused and adapted more easily to new needs, without having to start from scratch.
From the templates table, the user can access the action menu of an existing template and select the Clone Template option. Once the action is performed, the system creates a new template based on the original and registers it in the list with the name composed of the word “Copy” followed by the title of the previous template.
It is important to note that this duplication replicates the structure and content of the template, but does not copy form actions or associated configurations. Additionally, this functionality will only be available to users whose profile has the appropriate permissions to modify email templates.
Benefits
- Allows reusing existing templates without creating them again from scratch.
- Saves time in creating new email communications.
- Facilitates standardization of structure and content among similar templates.
- Reduces errors by starting from a validated base.
- Makes it more agile to adapt templates to new campaigns, processes, or needs.
- Improves the productivity of users who manage communications from the CRM.
How to Configure or How the Process Is Done
To duplicate an email template in wolkvox CRM, follow this process:
- Log in to wolkvox CRM and go to "Configuration."
- Go to the "Customize" section.
- Open the "Email Templates" tab.
- Locate the template you want to reuse in the table. In the "Actions" column, open the options menu for that template.
- Click on "Clone Template."

The system will create a new template in the list with the name "Copy" followed by the name of the original template.
It is recommended to enter the cloned template and change its name to correctly identify it according to its new use.

Considerations
- This option is only available to users with permissions to modify email templates.
- Cloning copies the content and structure of the template.
- Form actions or associated configurations are not copied.
- It is recommended to rename the new template after duplicating it to avoid confusion in the list.
New Contact Variables in Email Templates for the Cases Module in wolkvox CRM
In wolkvox CRM, new independent contact variables have been incorporated for email templates in the Cases module, allowing the name, email address, and contact ID to be displayed separately within the message.
With this improvement, it is no longer necessary to rely on predefined formats to include contact information in the body of the email. Now, the user can decide more precisely which data to use in each part of the template, depending on the context of the communication. This provides more flexibility when drafting messages and facilitates content personalization.
The new available variables are:
- [wolkvox_contact_name]
- [wolkvox_contact_email]
- [wolkvox_contact_id]
This update maintains compatibility with current templates, so existing configurations continue to work without changes. However, it is recommended to gradually migrate to these new variables to take advantage of a clearer and more flexible structure. In cases where contact information does not exist or is empty, the system will send the value “N/A”.
Benefits
- Allows independently inserting the name, email, and ID of the contact.
- Provides greater control over what information to display in each part of the message.
- Improves personalization of email templates in the Cases module.
- Avoids relying on closed formats or predefined combinations.
- Maintains compatibility with current templates.
- Facilitates a gradual migration towards a more flexible configuration.
- Handles empty data by displaying “N/A” when no information is available.
How to Configure or How the Process Is Done
To use these new variables in an email template for the Cases module, follow this process:
- Access the Email Templates configuration in wolkvox CRM.
- Create a new template or edit an existing one for the Cases module.
- In the message body editor, insert the variables according to the information you want to display:
- [wolkvox_contact_name] for the contact's name.
- [wolkvox_contact_email] for the contact's email.
- [wolkvox_contact_id] for the contact's unique ID.
- Save the template with the changes made.
- When the email is sent, the system will replace each variable with the corresponding contact data associated with the case.
Recommendations
- Use each variable individually according to the context of the message.
- Gradually review current templates to migrate them if you want greater flexibility.
- Keep in mind that if the data does not exist, the value sent will be “N/A.”
