Introduction

Bulk data import is an essential feature to optimize your time and keep your database updated without needing to enter information record by record. In wolkvox CRM, you can upload hundreds of contacts or business data in just a few minutes using a flat file in CSV format.

Important Note: If you do not see the bulk actions button when trying to follow these steps, your user profile may not have the necessary permissions. Contact your system administrator to request access.

 

 

Configuration

Go to the module where you want to load the information.

  1. In the top right corner of the screen, locate the bulk actions button.
  2. Select the option "Import and Update".

 

 

The system will ask you what type of action you want to perform. To add new information, select the option "Create All as New".

Tip: If you have doubts about how to organize your CSV, on this same screen, you can click the "Example" button to download a template guide with the correct headers.

 

 

An upload area will be enabled. Click on the area with the cloud icon that says "Drag your file here or click to upload" and select your CSV file from your computer.

 

 

Once the file is uploaded, you will enter the Configuration phase. Here, the system will attempt to automatically match the columns of your CSV with the fields in the module.

  • Field Mapping: Verify that the "Fields in CSV" column correctly corresponds with "Fields in CRM". If any do not match, you can manually select them from the dropdown list.
  • Required Fields: Ensure that the columns marked in red as "Required" have assigned information.
  • Notifications: In the "Email for receiving notification" field, confirm or edit the email address where you want to receive the final report of the process.
  • Click the blue "Validate" button.

 

 

If you receive an error message indicating that "The number of columns in the CSV file does not match the CRM form fields," it means the file structure does not match. Click the red "Reset" button to cancel the upload, correct your file, and try again.

 

 

Subsequently, click the green button with the checkmark (✓) that will be enabled on the right to confirm the import.

 

 

The system will show you a message indicating that the import was successful and will be processed in the background. This means you can close the window and continue working on other areas of the CRM while the data is being processed.

 

 

 

Once the process is completed, you will receive an automatic email (to the email configured in step 4) with a summary of the operation. This report will indicate:

  • Total records processed.
  • Records successfully inserted.
  • Skipped records or errors (if any).

Finally, return to the main view of the module in wolkvox CRM and refresh the page to see the new number of loaded records reflected.
