How to upload a list of records to a Preview campaign in wolkvox Manager
Descubre cómo cargar tu lista de clientes en campañas predictivas o progresivas para optimizar tus estrategias de marketing en Colombia.

Introduction
Preview campaigns allow each agent to manually manage their assigned records and decide when to initiate the call. To use this type of campaign, customer information must be uploaded beforehand using a CSV file, following the field structure supported by wolkvox Manager.
Unlike other dialing types, in a Preview campaign it is especially important to identify the agent responsible for each record, as they will be the one managing and manually initiating the corresponding call.
To simplify file preparation, you can export a template with the required columns directly from the campaign and use it as a baseline to load your records. The process of exporting a template, preparing the CSV, and subsequently uploading it follows a logic similar to that used in predictive or progressive campaigns.
How to upload a list of records to a Preview campaign?
Access campaign administration
In wolkvox Manager:
- Go to the “Campaigns” section from the left side menu.
- Go to the “Campaigns” tab.
- Locate the Preview campaign where you want to upload records. Right-click on the campaign.
- Select the “Admin Preview” option.
The window will open where you can view and manage the records associated with the campaign.

Download the template to prepare the CSV file
Before loading records, you can export the campaign structure to use as a template:
- Inside “Admin Preview”, click the “Export list” button.
- In the “Export” window, select the “All” option.
- Click “Export”. Depending on your browser settings, the file will download automatically or allow you to choose a save location on your computer.
It is recommended to perform this export while the campaign does not yet contain records, ensuring you get only the column structure you need to fill out. This same criterion applies when preparing files for other campaign types.

Prepare the file with records
Open the downloaded file and add the record information starting from the first column, NOMBRE, up to the AGENTE column.
The template contains the following groups of information:
- Customer data: NOMBRE, APELLIDO, TIPOID, ID, EDAD, and SEXO.
- Location: PAIS, DEPARTAMENTO, CIUDAD, ZONA, and DIRECCION.
- Additional fields: OPT1 through OPT12, which can be used to store additional information related to the customer or management.
- Phone numbers: TEL1 through TEL10, and OTROSTEL.
- Assignment: AGENTE, where you must enter the agent's identification number within wolkvox.
Any columns appearing to the right of AGENTE must be deleted before uploading the file.
Fields to keep especially in mind
The TEL1 field must contain the customer's main phone number. If you only have one phone number, it must be entered in TEL1.
The AGENTE field must contain the wolkvox agent ID to whom the record will be assigned. This data is critical in Preview campaigns, since dialing is manual and the agent initiates the call.
Phone numbers must contain a valid number of digits. If a record contains a number with fewer than 7 digits, it may be rejected during upload.
Once you finish filling in the information, save the file in comma-separated CSV format.
Field character limits
When preparing records, you must observe the maximum character limit supported by each field:

Upload the CSV file to the campaign
Once the file is prepared:
- Return to the “Admin Preview” window. Click the “Upload list” button.
- In the window that appears, click “Choose file”. Your computer's file explorer will open.
- Locate and select the previously prepared CSV file. You can double-click the file or select it and click Open.
- Verify that the filename appears next to the picker.
- Click “Upload csv file to the campaign”.
The system will process the file contents and validate each record.

Review upload results
When processing completes, wolkvox Manager will display a summary of the import results.
You will be able to review, among other details:
- Loaded records: number of records successfully loaded.
- Rejected records: number of rejected records.
- Total records: total number of processed records.
If there are rejected records, the system will display information regarding the reason for rejection. For example, a record may be rejected if the customer's phone number contains fewer than the minimum required digits.
Review these messages before closing the window, as they help you identify what information needs to be corrected in the file before re-uploading the records.

Refresh and verify loaded records
After completing the upload:
- Close the import results window. Click the “Refresh” button inside “Admin Preview”.
- The table will display the records that were successfully loaded. Verify that the information is distributed across the corresponding columns.
In the “Result” column, unmanaged records appear with the status “CLEAN”. This indicates the record is available and no call has been made to it yet.
You can also check the total number of records and their status within the campaign at the top of the table.

Important considerations
Before uploading, verify that the file is saved in comma-separated CSV format, that TEL1 contains the customer's main phone number, and that AGENTE contains the correct ID of the assigned agent. Also observe character limits for each field and remove all columns located after AGENTE.
Proper file preparation prevents import rejections and ensures each record is available for the assigned agent to manually manage from the Preview campaign.
