You are a business partner or administrator and you need to register and provision a new service or client (operation) on the platform independently, configuring licensing parameters, cloud hosting, security measures and storage for immediate launch.

Context / Scenarios

These actions are executed directly from the Partner Portal , using the central Operations module to provision a completely new workbook within the Google Cloud Platform (GCP) infrastructure.

Answer / Solution

Minimum Required Information

Before starting the form, as the administrator you must have the following basic data defined:

• Master Licenses / Contact Center: Number of licenses required for operation.
• PBX Licenses: Quantity required.
• Names (Operation and Superuser): Project name and administrator name.

Standardization of names: As a recommendation, we suggest that the operation name match the Superuser name to facilitate administrative order within the portal.

• Corporate email address for notifications and mobile phone number for authentication for Superuser login.

Initial Validations and Prerequisites

1. Latency test: Before selecting a hosting zone, we recommend performing a latency test to Google Cloud (GCP) from the network or workstations where the client will be operating. This will ensure you choose the data center that offers the lowest response times and optimal connectivity.

Step-by-step instructions for creating the new operation

To create the new transaction independently, log in to your Partner Portal and follow these steps:

1. Go to the Operations module in the self-service menu and click on the gray " Create operation " button located at the top.
2. Complete the form in full, structured in the following sections:

• General Information and Licensing: Enter the number of Master and PBX licenses required, as well as the operation name and the Superuser.
• Security and Notifications: Enter the destination email for module alerts and configure the phone number that will receive the two-factor authentication (2FA) security codes for Superuser login.
• Credential Protection (CRITICAL): When registering the information, the system will automatically generate a password for the account.

⚠️ You must copy and store it securely, as it will later be permanently hidden due to strict cybersecurity policies.

• Infrastructure and Accommodation :
  Server type: Select the Standard (shared infrastructure) option to ensure the best performance and enable Data Center selection.

Note : "Free" environments are for testing purposes only, and if a "Dedicated" server is required, it must be arranged directly with the Wolkvox Customer Success team.

or Hosting Zone: Choose the Google Cloud Data Center that yielded the best result in your previous latency test.

• Storage and Additional Features: Define the data retention period (minimum of 6 months by default), configure the percentage for recording agent screens, and enable or disable the video call service. This period can be extended according to the client's needs (incurring an additional cost).

3. Click the " Create operation " button. The system will automate provisioning, and within a couple of minutes, the operation will be active, configured, and hosted in the selected zone and data center within the Google Cloud.

Recommendations

• Once the operation is created, it is essential to configure the outbound trunk, its route, and its prefix as a priority. The platform uses this outbound dialing configuration to send SMS messages with security and authentication codes; if this is not done immediately, the Superuser and agents will not be able to receive the codes necessary to log in and access the system.
• Always immediately back up the auto-generated password in a secure corporate credential manager.
